Documents Required for a Business Loan

Short answer

A business loan file generally needs five groups of documents: KYC of the applicant and co-applicants, proof that the business exists and has been operating, financial documents such as filed returns and financial statements, bank statements for the recent operating period, and details of loans already running. Individual lenders add or waive items depending on the programme.

Key points

  • Documents fall into five predictable groups; the specific list varies by lender and constitution.
  • Consistency across documents matters as much as the documents themselves.
  • Bank statements are usually requested for the recent operating period in a lender-accepted format.
  • Secured proposals add property papers and a valuation or legal step.
  • A complete file at submission avoids the most common cause of delay.

The five document groups

1. Identity and address (KYC)

  • PAN of the applicant and of the entity where applicable
  • Aadhaar or another accepted identity proof
  • Current address proof for the applicant
  • Recent photographs where the lender requires them

2. Business existence and continuity

  • Registration or incorporation documents according to constitution
  • GST registration and recent filings where applicable
  • Udyam / MSME registration where the business is registered
  • Partnership deed, memorandum and articles, or proprietorship proof

3. Financial documents

  • Income tax returns with computation for the periods requested
  • Audited or certified financial statements where applicable
  • GST returns for the recent period

4. Banking

  • Statements of the primary current account for the recent operating period
  • Statements of other operating accounts where turnover is split

5. Existing obligations

  • Sanction letters or repayment schedules of running loans
  • Statement of account for limits already availed

Additional documents on secured proposals

Where property is offered as security, the file also carries the chain of title documents, the latest tax receipt, approved plan where applicable, and whatever the lender's legal and valuation process requires. These steps take their own time and are handled by agencies appointed by the lender.

Why files get sent back

  • Name or address spelt differently across PAN, Aadhaar and business registration
  • Bank statements downloaded in a format the lender cannot validate
  • Returns submitted without the computation or acknowledgement page
  • Pages missing from a multi-page statement or deed
  • Old registration certificates that no longer reflect the current activity

How we handle documentation

We check the set against the specific lender's requirement before submission, flag mismatches early, and tell you when something genuinely cannot be produced so an alternative can be discussed rather than discovered halfway through.

Frequently asked questions

Is GST registration mandatory for a business loan?

Not for every programme. Several lenders require it, others assess turnover through banking and filed returns. It depends on the product and the lender.

How many months of bank statements are needed?

Most lenders ask for the recent operating period, commonly six to twelve months. The exact requirement is set by the lender and the programme.

Can documents be shared digitally?

Usually yes. Share documents only through channels you have confirmed, and never share OTPs or banking credentials with anyone.
